The Swiss patient record
for institutions and medical practices

Care without barriers. Protect without compromise.

A tailor-made electronic health record, shaped by the front line. Your teams deliver care the way they know best, without bending to the tool. You keep the overview: every site, every alert, every delay, in real time.

Built in collective accommodation, not adapted from nursing-home software. Billing born with TARDOC, not bolted onto TARMED.

Product sheet (PDF, 2 pages)

Who it's for

Designed for those who care.

Institutions and collective accommodation centres

Collective accommodation centres under federal or cantonal mandate, residential homes, care institutions, correctional institutions: several sites, one platform, management sees the whole and each facility stays its own. Families and links, medication preparation and dispensing, multilingual teams.

Medical practices

Complete patient record, calendar and appointments, archivable documents and reports, contact directory fed from the public registers.

TARDOC billing built in, TARMED kept for reference

Software should adapt to the way you provide care. Never the other way round.

Too many tools impose their screens, their menus, their limits. Helvyca starts from your daily work: every screen comes from the field, and what is still missing is built with you.

Foresight

Indicators per site and per region, screenings and vaccinations tracked with their reminders. A health signal rising at one site becomes visible before it becomes an outbreak.

Security

Protection is not an option, it is the architecture: laid down before the first screen, tested at every stage of development.

Sovereignty

Independent Swiss vendor, subject to Swiss law alone. No foreign shareholder, no parent company: decisions about your data and the product's development are taken in Switzerland. Your data belongs to you and can be exported at any time. A source code escrow is offered in the contract, for the continuity of the software.

The product

A patient journey with no loss of information.

Core capabilities

Patient record

Identity, allergies, treatments and documents on one unified timeline, found in seconds.

Care documentation

Care journal, vital signs, wound monitoring on a body chart, vaccinations and screenings, with automated reminders.

Medication

From prescription to dispensing, with structured treatments, a full history and visual alerts.

Calendar and appointments

Per person and per site, with reminders and export to your calendars.

Documents and reports

Attachments from a computer or straight from a phone, filed in the right place in the record. Archivable PDF reports and official forms pre-filled with data from the record.

Transfers and families

A transfer takes one action: the record follows the person from one site or facility to the next, in full, and the handover stays in the audit log. Members of the same family are attached automatically to the same file, without retyping, and stay visible without ever mixing data.

Contact directory

Your correspondents, physicians and other health professionals, imported from the public registers.

Overview

Dashboard and statistics in real time, five alert types, delays visible at a glance: what needs your attention comes first.

TARDOC billing

From consultation to invoice: checks as you type, amounts in francs, diagnoses taken from the federal source.

Laboratory

Structured results with reference values, manual entry always possible, export in a standard format.

Voice dictation

The voice never leaves Switzerland and the audio is never stored. You dictate your notes, never the patient.

Features on request
TARDOC billing

Born with TARDOC.

TARDOC replaced TARMED on 1 January 2026. Helvyca has never billed any other way: not a module grafted onto software built for another tariff, but a tool built for this one. TARMED remains available for reference.

Nobody learns the cumulation rules by heart.

Helvyca checks them while you type: a non-cumulable combination of positions is flagged the moment you compose it, not when the invoice comes back.

The entered duration suggests the positions
Invalid cumulation, flagged as you type
The total in francs, cantonal point value applied

The invoice starts from the consultation.

Positions are attached to the consultation itself: nothing to retype at the end of the day.

Compliance and security

Compliance and security, documented line by line.

Health data demands a strict framework. What follows reads in two parts: what we commit to, then how it is upheld technically. Every claim is verifiable on request.

Documented
01Data protection (FADP)
Designed along FADP principles: documented impact assessment, template data processing agreement, configurable retention periods.
02Interoperability (FHIR R4)
FHIR R4 API validated with the official HL7 validator: 0 errors across 18 resources, best-practice recommendations named in the report. A technical foundation for future exchanges, notably with the electronic patient record (EPR).
Validation reportPDF
03Archiving (PDF/A)
PDF/A-1b reports validated with veraPDF, check of 10 September 2026: compliant, 0 failures. Modular export, section by section.
Validation reportPDF
04Traceability (20 years)
Medical log kept for 20 years, sign-in log for a configurable period. Protected at database level: no application account, super administrator included, can rewrite or delete an entry before its retention date.
05Backups (15 min)
An encrypted backup every 15 minutes, following a 3-2-1 strategy with an off-site copy locked for 30 days. Documented and tested restore procedure.
06Languages (FR DE IT EN)
Designed for the whole of Switzerland: French, German and Italian, plus English for staff more at ease in an international language. Everyone works in their own language.

Transparency and compliance

The compliance file, the technical documentation and the supporting evidence are available on request and at helvyca.ch.

Technical measures

Health data treated like health data.

Two-factor authentication

Every account is protected by a second factor. Login attempts are limited, sessions are capped, and inactive sessions expire automatically.

Encryption

Data encrypted in transit and at rest. Clinical notes, the ones that say the most, are encrypted in the database, as are sensitive identifiers.

Nine security reviews

Security reviews and penetration tests run in-house throughout development, each documented and replayed after remediation. A penetration test by an independent provider is in preparation. Reports available under a confidentiality agreement.

Swiss hosting

Production data hosted exclusively in Switzerland, in ISO 27001 certified datacentres. The name of the host and the data processing agreement are in the compliance file, provided on request.

Segregation and access rights

Precise roles: each person only sees the people in their care, and the medical service stays separate from the rest of the facility. Each organisation and each site stays separate from the others, right down to the audit log. A site outside the scope is refused, not hidden.

Reversibility

Every record exports as a PDF with its attachments, and the FHIR R4 API makes the structured data readable by another system. Open, documented formats, no proprietary format, nothing held back. A complete extract of the database is available on request, at any time and free of charge.

Public sector

Built for public-sector requirements.

Tenders, audits, data protection: the public sector and its contractors, including reception and collective accommodation facilities, have requirements few software vendors take seriously from day one. Helvyca is built to meet them: you are ready before your deadlines, not after.

Compliance file from day one

Security concept, impact assessment, template processing agreement. The complete file is handed over at the first meeting, not after signature.

Service targets

Targets proposed in the contract: 99.5% availability per month, at most 15 minutes of data loss, service restored within 4 hours during service hours and 12 hours outside them, maintenance announced 5 working days in advance. The commitments, the service hours and any penalties are set out in writing in the contract.

The exit is agreed before the entry

Termination conditions, notice period, hand-back format and migration support: all of it is agreed in writing before signature, not negotiated on the day you leave.

Longevity

Helvyca is an independent Swiss vendor on a human scale. Its longevity rests not on promises but on verifiable facts: your data is readable without us, in open and documented formats; the platform and its backups are hosted in Switzerland; the exit terms are written before signature; source code escrow is offered in the contract. A company entered in the commercial register (UID CHE-411.866.170), registered office in Fribourg.

About

An independent Swiss company.

Helvyca is an independent company based in Fribourg, founded and run by Imran Caliskan. Eleven years in collective accommodation, five of them in charge of technology and development for the whole of Switzerland: management systems rolled out centre after centre, in French-speaking and German-speaking Switzerland alike, more than a thousand staff trained, national and international IT projects led from planning to go-live. A migration specialist with a Swiss federal diploma, he masters the field as much as the technology. Helvyca grew out of that dual expertise: every screen was designed from the point of view of the person who will use it, proven in the field, documented end to end. Not a tool imposed from outside, but a system teams make their own, built for the whole of Switzerland, its languages and its rules, federal and cantonal alike, and made to last.

Deployment

From first conversation to daily use, in four steps.

Tailor-made

Missing a feature? If it can be automated, we will build it.

Helvyca is configured around your habits. When configuration is not enough, development takes over, in short iterations validated with your teams. Every accepted request is set out in writing, with an agreed scope and timeline.

01

Scoping

On-site visit, mapping of current flows (binders, spreadsheets, phone), then a written offer with scope and timeline.

02

Pilot

Defined scope, real data, training to match, measured results. The duration is set with you, according to the project.

03

Roll-out

Gradual extension to the whole organisation, training for the teams site by site. Migration of existing data can be offered separately, depending on its volume, its format and the migration needed.

04

Operations

Monitoring, verified backups, security updates. An e-mail in the language of your choice is enough; if it is urgent, by phone. Everything is included in the subscription.

FAQ

Frequently asked questions.

How much does Helvyca cost?

A monthly subscription per organisation, which includes hosting in Switzerland, backups, updates and support. The amount depends on the size and activity of the organisation. You receive a written offer at the scoping stage, before any commitment, and the rate is set in writing for the agreed term.

Do we need to install anything?

No. Helvyca opens in a browser, on a computer, tablet or phone: no server to buy, no licence to install. Every workstation sees the same patient record, always up to date, and a new staff member is added in a few minutes, with no IT involvement.

How does the migration of our existing data work?

It is assessed at scoping: depending on the format, spreadsheets or exports from another software, most of it can be migrated without retyping. It is a separate service, quoted according to volume and format, and your current system remains the reference until the switch.

Who exactly hosts the data?

Data centres located in Switzerland, operated by a Swiss hosting provider and ISO 27001 certified. That certification covers the data centres and their operator, not Helvyca itself: the name of the hosting provider and the data processing agreement are in the compliance file. The data does not leave the country.

What happens to our data if we stop, or if Helvyca ceases to exist?

It belongs to you, and you do not need us to read it: every record exports as a PDF with its attachments, and the FHIR R4 API gives access to the structured data in a standard, documented format. A complete extract of the database is available on request, at any time and free of charge. Exit terms are set in the contract from the day of signature, and continuity guarantees, including source code escrow, are negotiated according to what your organisation requires.

Who provides support, and in which language?

With Helvyca there is no call centre, no ticket portal and no process eating into your valuable time. An e-mail in the language of your choice is enough for your request to be handled; if it is urgent, you can reach us directly by phone. Personal support, from the first exchange through to operations.

Is Helvyca an EHR or the Swiss EPR?

An electronic health record (EHR): the internal software your care teams use to document, consult and file. The Swiss Electronic Patient Record (EPR), created by the EPRA, is the national dossier a patient opens with a certified community. Two distinct, complementary things: Helvyca is the first; connection to the second is planned.

Are you ready for the electronic patient record?

Not connected yet, but the exchange foundation is in place: FHIR R4 API validated with the official HL7 validator, 0 errors across 18 resources. Connection to an EPR community is among the planned developments. The validation report can be downloaded from the compliance table.

See it in action. 30 minutes is enough.
